Forsyth Free Tax VITA Program Assistant

Primary Role:

The VITA Assistant Coordinator closely coordinate the development of outreach materials for the Earned Income Tax Credit (EITC) campaign, free tax sites, financial education, and Individual Development Account (IDA) Program for Forsyth County and their partners.

Reports To:         VITA Program Manager


Organizational Effectiveness

  • Works with IDA staff to encourage the use of the Advances EITC for IDA participants.
  • Works with ESR staff to expand “ESR Saves” and other financial education materials needed.
  • Performs general office duties as required by the EITC Coordinator (such as developing an effective filing system for tax returns, filing other programmatic data/information, copying and collating, answering and returning incoming calls and assisting in maintaining order in the office in the absence of the EITC Coordinator).
  • Assist with error resolution, tax preparations, e-filing, contacting taxpayers, and responding to tax questions.
  • In some cases, install upgrades to the software, assist with the configuration and setup of the notebooks associated with the computers used to prepare taxes.
  • Makes sure that each tax site has a sufficient number of volunteers to prepare income tax returns as well as volunteers to serve as intake greeters.

Organizational Program Leadership

  • Train ESR staff on the benefits of the EITC especially the Advances EITC for clients pursuing self-sufficiency and housing stability.
  • Train staff on the basics of how to use tax system to benefit working families including the use of the Child Tax Credit, the Education Tax Credit, and the Savers’ Tax Credit.

Organizational Program Leadership

  • Develops all outreach materials so that materials can be customized as needed for both the free tax sites and for VITA outreach materials for both eligible individuals and employers. This will include fliers, brochures, paycheck stuffers, employer toolkits, and other materials as agreed to by partner agencies.
  • Develops an outreach strategy to reach employers, non-profits who serve low-income clients, and eligible families on the benefits of the EITC, free tax preparation, and arrange for and assist in offering tax training for volunteers in Forsyth County.
  • Distributes and tracks outreach material, prepares flyers, paycheck stuffers, AEITC (Advanced Earn Income Tax Credit) and EITC brochures.
  • Prepares VITA site schedules for individuals and organizations, mail out and sometimes delivers materials to sites.
  • Send out via e-mail or mail volunteer letters, job descriptions, training requirements to all former volunteers as well as new volunteers.
  • Maintains the volunteer database, keeping track of prospective volunteers from former volunteers. The database must be kept current at all times.
  • Schedule volunteers for training classes according to the number of people who have signed up make sure the training room has the capability to accommodate the actual number of people who attend. Notify volunteers of any changes, etc. to training classes scheduled.
  • Makes sure the volunteers receive training manuals and materials as required and provide training material for classes.

Enhance Community Collaboration

  • Coordinates free tax sites in Forsyth County including volunteer recruitment, electronic filing, and being on site as needed to support new volunteers.
  • Works with Digital Bridge NC to coordinate outreach and training on ICAN EIC at key Winston Net sites and to do outreach to other taxpayers on the use of this software.


  • Serves as an ambassador for the IDA Program and maintain the integrity of the organizations involved.
  • Serves as a team player and assists in furthering the mission of the organization.

Licenses, Registrations, Certifications

  • Valid Driver’s License and reliable transportation that may be used in the performance of duties.


  • Must possess an Associate’s Degree and basic tax knowledge (form 1040, Form 1040A, and Form 1040EZ) and knowledge of EITC and other tax credits will be helpful.
  • Must have basic knowledge of the IDA Program.
  • Must have experience in community outreach.
  • Must have basic working knowledge of computer usage.
  • Must have strong interpersonal skills, be dependable and flexible.
